Job Description: Admin/Patient Care Coordinator
Seeking an administrative support person/patient care coordinator for a specialty pelvic health physical therapy clinic. We are looking for compassionate, caring, and enthusiastic members to join our growing team.
Applicants should be detail-oriented, organized, flexible, and enjoy being part of a growing business and team that is committed to health and wellness.
The position is a part- time position with competitive compensation according to experience level and performance. The position involves interacting with patients, handling the schedule, filing paperwork, answering the phones, and explaining pelvic floor physical therapy to new patients.
About Us:
Radiance PT is a private practice pelvic floor physical therapy clinic, treating patients from across eastern North Carolina. We believe in hour-long treatment sessions with a qualified pelvic floor physical therapist, manual physical therapy, and a customized treatment approach.
Our patients have seen multiple other doctors and physical therapists before arriving at our specialty clinic. We are focused on providing the best possible care for our patients and we believe the front desk is the face of the clinic, a crucial part of our team, and essential for the success of the clinic.
RESPONSIBILITIES
Client Service
To greet patients promptly and courteously when the entering the clinic
To schedule patients over the phone
Answering phone and explaining pelvic physical therapy to new and potential patients
Respond to new patient online inquiries
To handle the daily scheduling, cancelations and scheduling follow up appointments
To represent the clinic whether on the phone or in person or in community events
Handle and organize patient files and information
To stock and organize clinic inventory, clinic linens, and equipment cleaning
Assisting with in person marketing efforts, social media, blogs, and community outreach
Able to take patient payment, use an e-fax machine, handle email communications.
General Administrative, Marketing, and Technical Support Duties
Create and update standard operating procedures
Updating clinic dashboard
Writing thankyou notes to referring providers
Printing or ordering of marketing materials/supplies as needed
Ensuring that online paperwork is filled out prior to evaluations
Website updates (Squarespace)
Scheduling emails & Building new automations (ConvertKit)
Being a support system, brain stormer, system optimizer, and positive influence to facilitate business growth
Attendance to Team meetings inperson & communication by Asana
Any other duties which may be required

Qualifications and Skills
Minimum of one year experience in customer service setting.
Experience as a receptionist in a healthcare setting is strongly preferred.
Proficient in Microsoft Word, Excel, and GoogleWorkspace
Abilities with social media (Instagram/Facebook) and design skills in Canva.
A high school diploma is required, an AA or bachelor's degree is preferred.
Ability to interact in a professional and courteous manner with patients and clinicians at all times.
Ability to learn and communicate about pelvic floor physical therapy and the various diagnoses that are seen at the clinic.
Handle paperwork fling in an organized manner.
Communicate clearly in person and on the phone.
